Follow-Up & Thank-You Emails After an Interview (with Templates)

A short, specific note keeps you top of mind โ€” here's exactly what to send.

A brief, thoughtful follow-up won't win you a job you bombed, but it can tip a close decision and it reinforces a good impression. Most candidates skip it or send something generic. A short note that references something specific from the conversation is easy to write and quietly effective.

Timing and what to include

  • โ€ขSend the thank-you within 24 hours, ideally the same day.
  • โ€ขKeep it short โ€” three to five sentences. Thank them, reference one specific thing you discussed, and restate your interest.
  • โ€ขEmail each interviewer you met if you have their addresses, lightly personalizing each.
  • โ€ขIf you forgot to mention something relevant, this is a natural place to add one line.

Thank-you template

Same-day thank-you

Hi [Name], thank you for taking the time to talk today. I especially enjoyed our discussion about [specific topic] โ€” it made me even more excited about [role/team]. It reinforced that this is the kind of problem I want to be working on. Please let me know if there's anything else I can share. Best, [You]

Status check-in template

If the timeline they gave you has passed, one polite nudge is completely appropriate. Don't chase more than once every several days.

Polite follow-up after the stated timeline

Hi [Name], I hope you're well. I wanted to follow up on the [role] interview from [date] and reiterate my continued interest. I completely understand these processes take time โ€” is there any update on the timeline you can share? Thanks again for the opportunity. Best, [You]

๐Ÿ’ก Be warm and patient, never demanding. Hiring is slow for reasons that usually have nothing to do with you.
